Once your survey is ready, send it to stakeholders via email invitations or shareable links.

Email invitations

Selecting recipients

  1. Open your survey
  2. Click Send Invitations
  3. Select stakeholders:
    • Individual selection - Pick specific stakeholders
    • By group - Select entire stakeholder groups
    • By project - All stakeholders in a project

Customizing the invitation

Write a personalized message:
  • Subject line - Email subject
  • Message body - Introduction and context
  • Survey link - Automatically included

Scheduling

Send immediately or schedule for later:
  • Send now - Deliver immediately
  • Schedule - Pick date and time
Each stakeholder receives a unique link that:
  • Pre-identifies them (no login required)
  • Tracks their response status
  • Links responses to their profile
For truly anonymous feedback:
  1. Go to survey settings
  2. Enable Anonymous mode
  3. Share the generic survey URL
  4. Responses won’t be linked to identities

Managing invitations

Tracking status

View invitation status in the survey dashboard:

Sending reminders

For stakeholders who haven’t responded:
  1. Go to the survey’s Responses tab
  2. Filter by Not completed
  3. Click Send Reminder
  4. Customize the reminder message
Wait at least 3-5 days before sending reminders. Multiple reminders within a short period can reduce response rates.

Response rate optimization

Quick surveys have higher completion rates. Save comprehensive surveys for formal assessments.
Tell stakeholders why their feedback matters and how it will be used.
Include estimated completion time in your invitation.
Mid-week, mid-morning typically has the best response rates.
